This page explains what information we keep about you and how we use it, on Where They Hire, including its careers and schools pages.
Information we collect
- Your email address. You sign in with it. There is no password.
- Citizenship and major, and whether they are yours or your student's. You choose them when you sign up and can change them on either board or your account page. We use them to compare the student's citizenship and major with the requirements we find in postings.
- The postings you save and the stage you set for each one in the tracker.
- What you save on the careers and schools pages (occupations, metro areas, majors, schools, employers), kept in your Where They Hire account. An employer you save there is also followed here.
- When you signed up.
- Feedback you send us, with your email if you are signed in or choose to give it.
- A résumé, if you ask for a free assessment, with the school, major, degree, graduation year, citizenship and notes you give us. We use it only to prepare that one report. We delete the résumé 30 days after we send the report, or sooner if you ask.
- A résumé, if you add one to a profile in My plan. Claude reads it to suggest careers, job titles, markets and companies to follow; we delete the résumé 30 days after that analysis and keep only the suggestions.
To sign up we ask only for your email, your citizenship and your major. Your name, school and résumé are asked for only by the free assessment, profiles in My plan and the contact form on the careers and schools pages, as described on this page. We never ask for your visa status. If you start a membership, Stripe takes your card. We never see or store the card number.
How we use your information
- To sign you in and keep you signed in.
- To compare your profile with the citizenship and major requirements in postings.
- To keep your tracker.
- To write to you about your account, or about a change to the service that affects you.
- To email you new postings, if you turned that on. You can turn it off from any of those emails or on your account page.
We do not sell your information. We do not show ads. We do not share your information with employers. When you follow an application link, you leave Where They Hire. The destination site's privacy notice applies to information you share there.
Cookies
One cookie keeps you signed in for up to 60 days. Your browser also remembers that you have seen the logo animation. We do not use advertising or tracking cookies, and we do not run third-party analytics. We count page views ourselves, without a cookie: which page was opened, the site that linked to it, and whether the visitor was signed in. The count is not tied to your account.
Service providers we use
- Netlify hosts the site and the database.
- Resend sends the sign-in emails and the new-posting emails.
- Google Workspace receives the email you send to hello@wheretheyhire.com.
- Anthropic (Claude) helps us draft free assessment reports from the résumé you send. We read every report before it goes out.
- Stripe handles payment and stores your card. We keep your Stripe customer number and your plan, never the card.
These services may process data in the United States and other countries.
Data retention
We keep your account information while you have an account. To ask us to delete your account, profile, and tracker, email hello@wheretheyhire.com.
Your choices
You can change your citizenship and major at any time on either board. To see, correct or delete what we hold about you, write to hello@wheretheyhire.com from the email address on your account.
Careers and schools pages
The careers and schools pages can be used without an account. Signing in there uses your Where They Hire account. It also keeps:
- Contact details, if you fill in its contact form to keep looking up names: name and email (required); phone number, program level and start year (optional); and the occupation and metro area you were viewing.
- Email verification: when the code was sent, the number of wrong attempts, and when verification was completed. The code itself is not stored.
- Daily lookup counts per email. A verified email gets 5 school lookups and 5 employer lookups a day; members have no limit. We record how many lookups, not which school or employer.
- School Fit numbers (budget per year, SAT Reading and Writing, SAT Math), used only to compare with each school's cost and score range.
- Questions typed into Ask, up to 300 characters, and the answer, with no name or email attached.
- Usage events (metro areas opened, contact form views and submissions, blocked lookups, device type) with a random session ID. If you fill in the contact form in the same session, that ID is also kept with your name and email.
Cookies on those pages: jm_wth and jm_wth_in keep you signed in with your Where They Hire account (30 days); ltm_lead remembers the email you gave and whether it is verified (90 days); ltm_lk_school and ltm_lk_employer count trial lookups before you give an email (90 days); ltm_hoi counts questions asked in Ask per day (2 days). Saved items, School Fit numbers and your latest results stay in your browser while you are not signed in.
Their data is stored with Supabase (database). Anthropic (Claude) interprets questions typed into Ask, with the lookup context (major, occupation, metro area) and no email, name or account ID. Resend sends its verification emails. Netlify hosts it and keeps access logs with IP address and browser type. We may email or call you about the occupation and metro area you were looking into if you gave us your details; reply or write to hello@wheretheyhire.com to stop.
